Write the single event that starts the workflow. Avoid “when needed” or a judgement call.
Owner
Name one accountable process owner and one fallback owner.
Inputs
List each required field and remove anything not needed for the action.
Rules
Write deterministic routing, duplicate and rejection rules before adding AI.
Approval
Identify payments, contracts, regulated advice and external messages that require a person.
Exception
Define what stops safely, who receives the alert, and what evidence they need.
Baseline
Record current weekly volume, manual hours, rework and missed-response rate.
Acceptance
Create one normal test, one duplicate, one missing field and one connector failure.
