Start with the software your business already uses. Microsoft 365 Copilot Business adds Copilot across Microsoft 365 apps. The add-on needs an existing Microsoft 365 plan and is listed from US$18.00/user/month paid yearly. Gemini includes Gemini in Gmail, Docs and other Google apps on paid plans.

Set a budget using the billing term shown. Notion Plus is listed at US$10 per member/month. Grammarly Pro costs US$12 per member per month on annual billing, while ChatGPT Business and Claude Team both list a standard seat at US$20/user/month billed annually.

Check usage limits before your team grows. Claude Team says usage limits apply. Zapier's free plan includes 100 tasks a month and two-step Zaps only, while Otter Pro allows meetings up to 90 minutes. Fireflies gives the free plan 400 minutes of storage per team.

Match the plan to your team and purpose. ChatGPT Business and Claude Team both start with teams of 2. HubSpot's free tools are for up to 2 users and include Breeze Assistant. Its AI customer agent is listed from Professional, which is from US$50/month per seat.
